Can an outsourced company for transcription access EMR or is this handled on an individual basis with the company?

I do know that some of our clients (Medical Practice Solutions) have the ability to type directly into the EHR.  This of course would require
remote access that most IT professionals can set up for you (since it is off site).  Then of course, you would follow up with this type of working
agreement with the appropriate Business Associate agreement for HIPAA compliance.  Does that help you?

If I could expand on Cindy's question.   Our practice currently employs 2 in house transcriptionists.  Obviously when we convert to an EHR we will no longer need 2 transcriptionist.  In fact we are currently wondering about the cost effectiveness of having any in house transcription.

So the question becomes do we need to wait and pick an EHR system and implement it or can we start the process now and out source this whole department (hopefully at a cost savings).  And if we do this how do we assure ourselves that what gets done during this transistion will be compatable with our future system??

I think, considering it will take some time for the EHR implementation it is wise to make your transcription change now and being immediately to get the cost savings. If you ensure the following (at a minimum) you are probably OK as most good systems should be able to accommodate this…

 

1. The transcribing service uses a secure way of obtaining the dictation and then transmitting the notes
2. Transcribed notes are in MS Word format but also can be in the form of a PDF file

 

As noted before your future EHR should be able to incorporate into the actual note an outside file like Word, it should also be able to do voice recognition right from your dictation or take an actual “wave” file which is the actual voice recording..

We currently have an EHR---we basically scan all labs, radiology & hospital reports, and other correspondence into our system. Our doctors chose to continue doing their dictation in to a recorder and we still employee three transcriptionists in house. Our older more established physicians tryed hand held computers and using a program that could be set up with point and click type features, which they found to slow. The younger ones did set up part of the program for basic patient visits, but still fell back to their recorders for more detailed visits. So we actually have no paper chart everything is viewed on the computer which we have in each room.
